Description Oversees all financial aspects of a busy, multi-venue Performing Arts Center.  Working with minimal supervision, oversees the operation of the Finance Department staff, as well as financial management throughout the Center. 

 

Plans and reviews to assure that financial controls and financial reporting are sufficient to safeguard the Center’s assets.   Oversees budgeting and measures actual performance against budget, following up with departments on variances.  Contributes to the development of company strategic planning, policy, and implementation.  Works with Center staff to analyze Center operations,      investments and forecasting.   Monitors the investment strategies of professional managers who invest the Center’s endowment funds.

 

Reports to the Board of Trustees and Board committees on the Center’s financial position, investments, and other financial planning and controls.  Develops current year as well as multi-year financial forecasts.  Works with auditors on the annual audit.  Prepares or oversees the preparation of filings required for governmental entities and grantmakers, including the annual 990.  Directs change and/or enhancement to financial systems, policies and procedures. Performs related administrative and professional work as required.  Reports to the President and serves as a member of the Center’s senior management team.

 

 

 

                                             SPECIFIC DUTIES AND RESPONSIBILITIES

 

Directs and supervises the work of all finance staff.  Supervisory duties include instructing, assigning, reviewing and planning the work of others; maintaining financial accounting standards; coordinating activities; allocating personnel; selecting new employees; acting on employee problems; performance appraisals and recommending employee promotions, transfers, discipline, discharge and salary increases.  Because the number of finance staff is relatively small, must be able to be actively involved in all aspects of the departments operation.

 

Reviews the work of subordinates for completeness and accuracy; evaluates and makes recommendations as appropriate; offers advice and assistance as needed.

 

Actively oversees the management of accounts payable, accounts receivables and cash flow.  Follows up on receivables which are past due. 

 

Participates in the development of planning with an emphasis on strategic and financial management.    Analyzes financial implications of plan recommendations and decisions.  Prepares and presents financial portions of presentations to the Board and other public entities.

 

Oversees the annual budget process and presents the budget plan to the President, Board of Trustees and Board Committees.  Establishes and communicates budget timeline and financial guidelines to department heads and Vice Presidents; oversees the preparation and administration of the operating budget.

 

Reviews department/divisional expenses and budget requirements; evaluates and reviews rates charged by the Center; reviews and approves departmental budget requests.

 

Reviews the preparation of various accounting reports for accuracy, including monthly financial reports, and presents them to the President, Board of Trustees and Board committees, such as the Audit and Finance Committee. 

 

Coordinates meetings for the Board’s Audit and Finance Committee, including scheduling, agenda preparation and drafting meeting minutes.

 

Provides coordination, planning, and documentation support for the independent auditors related to the year-end financial statement audit, and other audit requirements, as necessary, including retirement and worker’s compensation audits.  Oversees the preparation of the Center’s annual 990 tax return and all other necessary tax and governmental filings.

 

Reviews budgets, pricing and contracts for all events presented by the PAC.  Works with the Center’s senior managers to analyze profit/loss of events and services contemplated as well as actually presented.

 

Studies, analyzes and reports on trends, opportunities and challenges reflected in the financial data to assist senior management and Board of Trustees in decision making and long range planning.

 

Develops and administers internal control of corporate investments and assets to maximize gain and minimize exposure to losses.

 

Reviews and reports to the Board on the performance of the Center’s investment managers.

 

Prepares financial analyses for various business operations, including presentations to the Board of Trustees and various Board committees.

 

Prepares data that is used for preparation for benchmarking studies and comparative peer reviews which the Center participates in.

 

Works with the Center’s General Manager and City’s Risk Management staff to ensure proper insurance coverage for the Performing Arts Center.

 

Prepares financials for the Center’s basic operating grant from the Arts and Science Council (ASC) and other grant funding organizations.

Reviews, analyzes and follows-up on monthly operating and G&A expense variances.  Reviews and approves all purchase orders and invoices.

 

Reviews to assure that there are sufficient internal controls for handling cash, checks, credit cards and all other sources of revenue.  Reviews inventory controls for food and beverage and other departments with valuable assets.

 

Reviews the Center’s investments in various theatrical productions and related businesses.  Evaluates the return on these investments as well as their ongoing value. 

 

Works with the Information Systems Department to investigate new accounting technology and software, and to research, plan and implement the efficient conversion of accounting packages as needed.

 

Assists the General Manager with contract administration to ensure compliance with legal and corporate guidelines. 

 

Receives and reviews various records and reports including operations reports, cash flow reports, expense variance reports, contracts, Call Center statistics, financial statements, reconciliation, audit reports, travel and expense reports, time cards, budget documents, meeting minutes, tax returns, etc.  Advises departments in the preparation of these reports to assure that they are accurate and informative, as well as establishing document retention policies.

 

Performs other related duties as required.

 

 

Requirements

MINIMUM TRAINING AND EXPERIENCE

 Requires a Bachelor’s degree in accounting or financial management supplemented by six to nine years of progressive financial leadership experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.   Attainment of a current Certified Public Accountant (CPA) status is highly preferred.
