Job Description


A leading media company located in downtown Chicago seeks an Executive Assistant/Office Manager to join their team!

Responsibilities of the Executive Assistant/Office Manager:

  • Provide daily administrative support to the President
  • Execute and manage various administrative and executive support tasks
  • Coordinate meetings, conferences, and conference calls
  • Heavy calendar management with internal and external executives
  • Arrange travel schedule and reservations for executive staff as needed
  • Prioritize and manage multiple projects simultaneously
  • Assist with preparation of sales or presentations materials and contracts
  • Assist with accounts payable and accounts receivable
  • Provide assistance with human resource related tasks
  • Maintain relationships with external clients and vendors
  • Manage incoming and outgoing mail along with other shipments
  • Order and maintain office supplies
  • Answer phones and direct calls appropriately 


Job Requirements


Requirements of the Executive Assistant/Office Manager:

  • Must have a Bachelor’s or Associate’s degree
  • Experience with event planning and creating travel arrangements are preferred
  • Working knowledge of ACT!, Salesforce, or other CRM or database software
  • Must have at least two years of professional office experience supporting an executive
  • Must have excellent calendar management skills
  • Must have strong writing, editing, and proof reading skills
  • Strong knowledge of Microsoft Office Suites and Quickbooks
