Executive Administrative Assistant
The Corporate Relations department oversees external public relations and internal communications on behalf of The Allstate Corporation. Functions in the department include communication strategy, public social responsibility (including corporate positioning, community relations and corporate contributions), media relations, government affairs, issues management, The Allstate Foundation, shareholder communications, reputation leadership, executive support, and employee and agency owner communications.
The scope of this job is to provide administrative support to the Corporate Relations VP. This role requires independent judgment, the ability to work with confidential/sensitive information and consistent interaction with the C-suite. The successful candidate will have a passion for excellence, acts independently and anticipates needs.
The individual will be responsible for:
- Manage VP's calendar and internal and external appointments.
- Prioritize work, solve problems and organize own time with minimal supervision.
- Initiate oral and written responses to inquiries.
- Manage phones; maintain calendars, follow-up systems and e-mail. Schedule meetings/rooms, equipment, and refreshments.
- Develop briefing materials as needed
- General administrative support including travel arrangements, scheduling meetings, maintaining agendas, filing, as well as coordinating multiple aspects of expense management for teams.
- Create presentations and documents utilizing basic grammar, spelling and formatting skills.
- Process incoming mail, order and stock supplies, coordinate credit card requests and expense reports.
- Coordinate employee recognition within teams, and coordinate with larger organization.
- Other duties as needed

Qualifications
- 5+ years administrative experience- preferably in Executive Support
- High energy and exceptional relationship-building skills
- Ability to prepare thank you and follow up notes with minimal direction
- Advanced organizational skills and keen attention to detail
- Proven ability to work in a confidential fast-paced environment
- Capable of handling multiple demands on an on-going basis while maintaining flexibility and adaptability
- Work under general direction, however, able to prioritize work and organize own time utilizing independent judgment
- Able to prepare presentations independently
- Able to identify, initiate, recommend, and implement corrective action within workgroup
- Professional poise to handle high visibility assignments requiring the use of tact and judgment
- Treats information with confidentiality
- Enthusiastic attitude, optimistic and team-oriented
- Advanced Microsoft Outlook, Word, Power Point and Excel skills
- Internet and Intranet navigation
- Ability to learn quickly, multi-task, flexibility, adaptability
