Our
Chicago office is seeking an
Administrative Assistant/Office Manager. The position is available now.
Responsibilities:
Financial Statement related tasks:
- Preparation. formatting and binding of financial statement reports.
- Copying, filing and mailing of Corporate, Partnership and Individual income tax returns.
- Updating of a detailed excel spreadsheet on the extensions mailed certified mail.
- Updating of the tax due list.
General administrative tasks:
- Word processing, including composing memos, letters, emails and other correspondence in accordance with established Company Standards
- Sending of fax messages, completion of certified mail receipts, processing of outgoing Federal Express and other courier packages
- Manual scanning or electronic printing of forms, reports, correspondence into PDF and TIF formats.
- Setup of client and financial folders on the company's network.
- Occasional internet research.
- Re-file client folders
- Professional switchboard telephone support, to include answering, directing and screening calls as needed.
- Greeting and escorting clients and visitors to the proper party.
- Maintaining partner's calendar.
- Receiving and routing mail.
- Ordering and maintaining supplies.
- Process Partner time and expense reports.
Requirements
- Must work independently within an established administrative framework
- Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment.
- Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
- Accounting software experience a plus (ProSystem Practice, ProSystem Tax, ProSystem Engagement).
- Personable team player, willing to work with and contribute to the success of a team of personable, highly motivated professionals.
- Proven expertise in MS Word and MS Outlook with a working knowledge of MS Excel, and Adobe software applications.
- Time flexibility, specifically the ability and willingness to work before or after regular hours to meet occasional short notice report deadlines; regular hours are 8:30 a.m. to 5:30 p.m. Mondays through Fridays.
- Excellent communication skills - spelling and grammar, good proofreader, ability to write/answer correspondence.
- Demonstrated high-level client-service orientation, ability to handle sensitive and confidential information with maximum discretion.
- Ability to understand challenges facing partners and staff members and be able to manage/reschedule priorities effectively.
- Professional demeanor.
- Organized, detail-oriented, competent follow through skills.
- Solid organizational skills with the ability to multi-task.
Skills/Qualifications:
- Prefer associates degree in secretarial science with at least 2-3 years of administrative experience.
- Bi-Lingual applicant preferred (English / German).
Local Candidates Preferred. No Relocation Assistance is offered.
