Description

FUNCTION/PURPOSE

This supervised position provides administrative support to the General Counsel and the two benefits attorneys.  It also provides support to the entire Legal Services Department by sorting and distributing mail, processing invoices, and renewing subscriptions to legal periodicals.  This position is also able to substitute for the other administrative assistants in the department, if necessary, by providing support to the other 2 attorneys, Paralegal and Legal
Specialist.
 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Providing support to the General Counsel, including correspondence, telephone calls, scheduling meetings, preparation of materials for Audit Committee meetings, maintaining corporations in good standing, opening files, organizing and maintaining board of directors materials, appeals materials, and spreadsheets of contract, internal audit and budget information.

  • Providing general administrative support to the two benefits attorneys.

  • Providing support for the two corporate attorneys as needed.
  • Processing invoices and preparing expense reports for all attorneys payable from the Legal Services budget.
  • Daily tasks such as maintaining file logs, sorting and distributing mail, ordering supplies, calling repair and maintenance, providing telephone coverage, updating library materials.
  • File cleanup and storage.

 

Requirements

MINIMUM REQUIREMENTS/QUALIFICATIONS

  • High school diploma or equivalent.
  • 3-5 years of secretarial/administrative experience.
  • Computer proficient; typing speed of 70 wpm.  Good oral and written communication skills. Ability to work independently and organize and prioritize work.

 

PREFERRED REQUIREMENTS/QUALIFICATIONS

  • Bachelors or Associates degree with 2+ years in a corporate legal department or law firm.

  • Familiarity with corporate documents such as annual reports.

 

KNOWLEDGE, SKILL, & ABILITIES

  • Problem Solving - Must be able to process work received and properly route it.
  • Communication - Must have good oral and written communication skills for interaction with both internal and external customers.
  • Interpersonal - Must be able to establish effective working relationships primarily within the department.
  • Organization & Planning - Must be able to organize and prioritize work and work somewhat independently.
  • Computer - Requires knowledge of Microsoft Office Suite, particularly Word and Excel.
  • Customer Focus - Must relate well to and be concerned about internal and external customers.
  • Team Approach - Must be willing to view Legal Services Department as a team and be willing to contribute as needed.
