Accounting and General Office Assistant (Part-Time)

 

A leader in vertical enterprise software and services is seeking an experienced Accounting and General Office Assistant to join its administration team in the Chicago headquarters location. This is a part-time position. (25 hrs a week).

 

The successful applicant for this varied and interesting position will work closely with the Office Manager. 

 

Job Responsibilities:

 

  • Processing AR invoices including input to the computer system, matching cash received and dealing with customer enquiries
  • Following up with customers to ensure prompt payment is received
  • Receiving, coding and processing AP invoices including input to the computer system, preparing checks for signature and dealing with vendor enquiries
  • Processing input to external payroll system
  • Receiving, checking and paying employee expense claims
  • Other general duties including
  • Welcoming visitors, answering phones and general reception responsibilities
  • Supporting office manager as needed with filing, entering invoices and other special projects
  • Supporting other corporate managers as needed with scheduling, travel arrangements and special projects
  • General office administration, including faxing, filing, copying, written correspondence and distribution of office mail
Requirements
  • Must have at least 2-5 years of experience in the related role
  • Must possess excellent verbal and written communication skills, strong attention to detail, and experience with computer accounting systems, data entry
  • Must be proficient in Microsoft Office- Word, Excel, and Outlook
  • Must be a highly organized individual who enjoys variety, can juggle multiple priorities, thrives in a fast paced environment and copes well under pressure
  • Must have excellent telephone skills, a professional demeanor and a service orientation to both staff and clients are essential
