Position Summary
Responsible for responding to vendor or company field personnel inquiries on the status of invoices either by phone or other electronic mechanisms within a centralized, high-volume customer service environment supporting multiple US locations. Provide a complete response to the inquiry; resolve more difficult invoice problems. Escalate issues as appropriate. Utilize the Enterprise Resources Planning (ERP) applications SAP, Image Now and Mercury, as needed.
Essential Job Functions
1. Respond to telephone, mail and email inquiries using standard scripts and procedures.
2. Gather information, research and resolve vendor inquiries, and log vendor/internal company calls.
3. Read and analyze information from vendor statements and invoices.
4. Determine when to handle a request or pass to an AP associate or supervisor for resolution.
5. Research invoice status in the ERP system, and imaging system.
6. Prompt follow-up with the inquirer to provide a status.
7. Performs other related duties as assigned.
Job Specifications
Education/Training: High school Diploma/GED or Equivalent Experience. Associates or 2-year technical degree in Accounting, Business or related area preferred.
Experience/Knowledge/
Abilities:
• Two or more years of customer service experience.
• Call Center, Accounts Payable and/or Food Service Industry experience strongly preferred.
• Knowledge, expertise or significant exposure to a major ERP application (i.e. SAP, Oracle, Lawson, PeopleSoft, etc.) required.
Work Environment: Work is performed in an office environment, which may require the ability to sit for prolonged periods of time. May also require frequent bending, twisting, reaching, standing and grasping to access files.
Physical Demands:
Bending, twisting, reaching above shoulder level. standing, sitting, walking and grasping to access files.
