Job Description


    The Executive Assistant on the IT team, will provide administrative support to the Director of Customer Service and his team. In this role, you will leverage your Excel reporting expertise, knack for logistics, managing and performing procedures, and maintaining office systems to make the work of the team more efficient and manageable. Your attention to detail, data management, communication skills, and strong customer service orientation will ensure that the team operates efficiently and effectively.

Primary Responsibilities

70%

1. Manage team reporting of key metrics and performance indicators via extensive use of Microsoft applications:
1. Outlook scheduling all internal and external meeting, conference calls, and trainings
2. Excel creating and maintaining complex data analysis reports utilizing macros and pivot tables
3. Access
4. PowerPoint developing, editing, presentation training materials
5. Word - drafting agendas, memos, and vendor communications
6. providing advanced materials, and executing follow up for meetings and team conferences

2. Accounts Payable: Receiving, auditing, and submitting invoices for prompt payment

30%
1. Managing internal and cross-enterprise communications
2. Engaging in special projects in support of the team, as directed
3. Working collaboratively with other team assistants across the organization
4. Maintain a high level of internal client support via phone and email, and track issues/resolutions
5. Manage team reporting of key metrics and performance indicators
6. Ad-hoc projects, as needed

    Job Requirements

    Prior Experience

    1. Experience working in finance, vendor management, procurement, billing, and/or internal corporate customer service is a plus.

    Skills

    1. Advance MS Excel, Outlook, Word, and PowerPoint
    2. Ability to think critically, with a high level of organization, attention to detail and energy
    3. Ability to resolve problems and/or discrepancies which may involve research and data collection
    4. Ability to work efficiently and with accuracy in a fast-paced, deadline-driven environment with minimal s supervision
    1. Ability to handle multiple tasks at once with a spirit of flexibility, sense of possibility, and a strong customer mer service ethic
    2. Effective and professional communication skills, especially in written correspondence
    3. Professional that works with a sense of urgency and sense of possibility
